Advanced Offer Acceptance Rate Calculator
Advanced Offer Acceptance Rate Calculator
Analyse recruitment offer conversion, candidate decisions, pending offers and acceptance performance against your HR target.
1. Recruitment Data
Use figures from the same reporting period. The four offer-status counts must add up to the total offers issued. Count each offer once and classify its current or final status consistently.
3. Formulas Used
Offer Acceptance Rate = (Accepted Offers ÷ Total Offers Issued) × 100
Resolved-Offer Acceptance Rate = (Accepted Offers ÷ (Accepted Offers + Declined Offers)) × 100
Offer Decline Rate = (Declined Offers ÷ Total Offers Issued) × 100
Pending Offer Rate = (Pending Offers ÷ Total Offers Issued) × 100
Withdrawal / Cancellation Rate = (Withdrawn or Cancelled Offers ÷ Total Offers Issued) × 100
Target Difference = Actual Offer Acceptance Rate − Target Rate
Target difference is expressed in percentage points (pp), not as a percentage change.
4. Worked Example
Suppose a recruitment team issues 100 offers:
- 75 offers accepted
- 15 offers declined
- 5 offers pending
- 5 offers withdrawn or cancelled
Offer Acceptance Rate = (75 ÷ 100) × 100 = 75%
Resolved-Offer Acceptance Rate = (75 ÷ (75 + 15)) × 100 = 83.33%
If the target is 85%, the target difference is −10 percentage points.
The two acceptance rates differ because the first uses all issued offers, while the second considers only accepted and declined offers.
5. How HR Can Use These Metrics
- Monitor offer conversion across comparable recruitment periods.
- Review candidate feedback, salary competitiveness, benefits and role expectations when declines increase.
- Track pending offers to identify delays in candidate decisions.
- Investigate withdrawn or cancelled offers separately, since they may have different causes.
- Compare departments or roles only when offer definitions and reporting periods are consistent.
There is no universal ideal acceptance rate. Set a target based on your organisation's historical performance, roles and recruitment conditions. These metrics indicate where to investigate; they do not establish the cause by themselves.
