Calculation Breakdown
| Total employees | |
|---|---|
| Available scheduled employee workdays | |
| Unplanned absence days | |
| Planned absence days | |
| Total absence days | |
| Estimated attendance days |
The attendance rate shown is based on scheduled workdays minus the absence days entered. Other exclusions or attendance adjustments are not included.
Formulas Used
- Available Employee Workdays = Number of Employees × Scheduled Working Days per Employee
- Unplanned Absenteeism Rate = Unplanned Absence Days ÷ Available Employee Workdays × 100
- Total Absence Rate = (Unplanned + Planned Absence Days) ÷ Available Employee Workdays × 100
- Estimated Attendance Rate = (Available Employee Workdays − Total Absence Days) ÷ Available Employee Workdays × 100
- Average Absence per Employee = Total Absence Days ÷ Number of Employees
Companies may define absenteeism differently. Some exclude approved planned leave from absenteeism reporting. Choose a consistent policy for comparisons.
Worked Example
A company has 50 employees and reports attendance over 22 scheduled working days per employee.
| Item | Example |
|---|---|
| Employees | 50 |
| Working days per employee | 22 |
| Available employee workdays | 50 × 22 = 1,100 |
| Unplanned absence days | 44 |
| Planned absence days | 66 |
| Total absence days | 44 + 66 = 110 |
| Unplanned absenteeism rate | 44 ÷ 1,100 × 100 = 4% |
| Total absence rate | 110 ÷ 1,100 × 100 = 10% |
| Estimated attendance rate | (1,100 − 110) ÷ 1,100 × 100 = 90% |
| Average total absence per employee | 110 ÷ 50 = 2.2 days |
Interpretation: The unplanned absenteeism rate is 4%, while the total absence rate including planned leave is 10%. These figures answer different questions and should be reported separately when appropriate.
How HR Can Use This Calculator
- Monitor attendance trends across reporting periods.
- Compare teams using the same calculation method and reporting window.
- Separate unplanned absences from planned leave.
- Support workforce planning and attendance policy reviews.
A single absenteeism rate does not explain the reasons for absence or establish employee performance. Consider context, privacy and applicable workplace policies when interpreting results.
