Stage-by-Stage Funnel Analysis

StageCandidatesConversionDrop-offDrop-off Rate

Stage conversion is measured against the immediately preceding stage. Drop-off rate is the proportion of candidates who did not progress from that stage to the next.

3. Formula Reference

  • Stage Conversion Rate = Candidates reaching the next stage ÷ Candidates at the previous stage × 100
  • Offer Acceptance Rate = Offers accepted ÷ Offers made × 100
  • Joining Rate = Candidates joined ÷ Offers accepted × 100
  • Overall Applicant-to-Hire Rate = Candidates joined ÷ Total applicants × 100
  • Stage Drop-off = Candidates at the current stage − Candidates at the next stage
  • Drop-off Rate = Stage drop-off ÷ Candidates at the current stage × 100
  • Estimated Applicants Needed = Target hires ÷ Observed overall applicant-to-hire rate

If the previous-stage count is zero, the corresponding conversion rate is shown as N/A rather than zero.

4. Worked Example

Suppose a company tracks 1,000 applicants during a recruitment cycle.

Recruitment StageCountConversion from Previous Stage
Applicants1,000Starting stage
Screened600600 ÷ 1,000 = 60%
Interviewed240240 ÷ 600 = 40%
Offers made120120 ÷ 240 = 50%
Offers accepted9090 ÷ 120 = 75%
Joined8181 ÷ 90 = 90%

Overall applicant-to-hire rate: 81 ÷ 1,000 × 100 = 8.1%

Total candidate drop-off: 1,000 − 81 = 919 candidates, or 91.9% of applicants.

Interpretation: In this example, the screening-to-interview transition has the lowest conversion rate at 40%. HR can review screening criteria, role requirements and candidate suitability before deciding whether any process changes are appropriate.

5. How HR Can Use the Results

  • Identify recruitment stages with the largest candidate losses.
  • Compare offer acceptance and joining rates across roles or recruitment sources.
  • Estimate the applicant volume needed to meet a hiring target using historical conversion.
  • Support discussions about job descriptions, screening criteria, interview delays and candidate experience.

Interpret results alongside job type, seniority, recruitment source, hiring difficulty and time period. A lower conversion rate does not automatically indicate poor recruiter performance.

Disclaimer: This calculator provides indicative recruitment analytics based on the figures entered. Use consistent candidate cohorts and reporting periods. Funnel metrics alone do not establish recruitment quality or compliance.
